Privacy Notice

This notice explains how Coaching Classes handles personal information for its website and platform, and how responsibilities are shared with the clubs using the service.

Last updated: 6 September 2026

1. Who is responsible for your information?

Coaching Classes operates the coachingclasses.co.uk website and software platform. We are responsible for information about club subscribers, website enquiries and people who contact our support team.

For parent, child, coach, attendance, medical and booking records entered for a club, that club normally decides why and how the information is used. The club is the data controller and Coaching Classes processes the information on its documented instructions. Parents should contact their club first about those records.

2. Information we handle

  • Names, email addresses, telephone numbers and account credentials.
  • Club identity, staff roles, venues, schedules and operational records.
  • Parent and child details, emergency contacts, authorised collectors and consent choices.
  • Medical, allergy, accessibility and safeguarding information supplied for safe participation.
  • Booking, subscription, payment status, refund and receipt references. Card details are entered with Stripe and are not stored by Coaching Classes.
  • Security, audit, email-delivery, support and technical diagnostic records.

3. Why information is used

Information is used to provide and secure the platform, create accounts, deliver bookings, take registers, support safeguarding, process subscriptions, send service communications, respond to support requests, prevent misuse and meet legal obligations.

Depending on the relationship and information involved, processing may be necessary to perform a contract, comply with law, pursue legitimate operational and security interests, protect vital interests, or act on valid consent. Clubs are responsible for identifying and explaining the lawful basis for information they control, including special-category health information.

4. Service providers and sharing

We use carefully selected providers to operate the service, including Supabase for authentication and databases, Vercel for application hosting, Stripe for billing and connected-account payments, and Resend for email delivery. Information is shared only as needed for those services, with professional advisers or authorities where required by law, or during a properly controlled business transfer.

5. International transfers

Some providers may process information outside the United Kingdom. Where required, we and our providers use recognised safeguards such as UK adequacy regulations or approved contractual protections.

6. Retention and deletion

We retain information only while it is needed to provide the service, follow a club's lawful instructions, resolve disputes, maintain security and audit records, or meet legal and financial obligations. Clubs control retention of the operational records for which they are controller. When an account ends, information is returned or deleted in line with the contract, subject to required legal retention and secure backup cycles.

7. Security

We use access controls, tenant separation, encrypted connections, protected service credentials, audit records and vetted infrastructure providers. No online system can guarantee absolute security. Suspected misuse or exposure should be reported immediately to info@coachingclasses.co.uk.

8. Your rights

UK data protection law may give you rights to access, correct, erase, restrict or object to processing, receive portable information and withdraw consent. For records held by a club, contact the club first. For Coaching Classes account or website information, email us. You may also complain to the UK Information Commissioner's Office at ico.org.uk.

9. Children

The platform is intended to be used by responsible adults and authorised club staff. A parent, guardian or appropriately authorised club must provide and maintain a child's information. Children should not create a club subscription account themselves.

10. Cookies and analytics

The application uses essential browser storage and cookies for authentication, security and session continuity. These are necessary to provide the account service and cannot be disabled through our website.

On the public marketing website only, we ask permission before loading Google Analytics. If accepted, Google Analytics uses cookies such as _ga and _ga_<container-id> to distinguish visits and produce website-usage statistics. These cookies may remain for up to two years. Advertising storage, Google Signals and advertising personalisation are disabled. Google Analytics does not run on club, coach or parent dashboards, booking forms or embedded booking widgets.

You can accept or reject analytics with equal ease, reopen Cookie settings from the marketing-site footer, and change your choice at any time. The site remembers that choice for six months. Rejecting analytics removes the first-party Analytics cookies we can identify. More information is available in Google's Privacy Policy.
